Vello and medical service reminders

Vello can automatically send medical service reminders to clients as emails, text messages, and postcards. Each reminder gives clients easy access to information about medical services for their pets.

After Vello sends a medical service reminder as an email or text message, Vello syncs the reminder to:
  • The applicable client contact record in your PIMS
  • The applicable patient record in your PIMS (optional)

Times that Vello sends medical service reminders

To know when to send reminders, Vello uses the due dates of medical services from your PIMS.

Note: If you use Cornerstone, Vello uses the due date of letter reminders in patient records to know when to send medical service reminders. And for Cornerstone, Vello does not automatically send callback reminders.

Vello only sends one medical service reminder to a client for each patient once a month. For example, if a patient must have two vaccinations, Vello only sends one message to the client.

The intervals that Vello automatically sends medical service reminders are:
  • 60 days before a service is due
  • 30 days before a service is due
  • 30 days after a service is due
Note: A practice manager cannot change the intervals that Vello uses to send reminders.
Note: Vello can only send medical service reminders at 9:00 AM each day. Vello cannot send reminders at a different time.
Note: If a client has a scheduled appointment in the next 120 days, Vello only uses email to send medical service reminders to the client. Vello does not send the reminders as text messages.

Medical service reminders and client appointment requests

If Vello online scheduling, is activated, medical service reminders shows a link or button that clients can select to open the Vello client portal. Then, clients can use the client portal to make appointment requests.

If online scheduling is not activated, medical service reminders tells clients to make a phone call to schedule an appointment.

Note: Only medical service reminders that are emails or text messages have a link or button to open the Vello client portal. Medical service reminders that are postcards do not.

Start or stop reminders for a medical service

If necessary, you can start or stop reminders for medical services. For example, you can configure Vello to send reminders for heartworm tests. And you can configure Vello to not automatically send reminders for nail trims.
