Vello and medical service reminders

Vello can automatically send medical service reminders to clients as emails, text messages, and postcards. Each reminder gives clients easy access to information about medical services for their pets.

After Vello sends a medical service reminder as an email or text message, Vello syncs the reminder to:

The applicable client contact record in your PIMS
The applicable patient record in your PIMS (optional)

Times that Vello sends medical service reminders

To know when to send reminders, Vello uses the due dates of medical services from your PIMS.

Note: If you use Cornerstone, Vello uses the due date of letter reminders in patient records to know when to send medical service reminders. And for Cornerstone, Vello does not automatically send callback reminders.

Vello only sends one medical service reminder to a client for each patient once a month. For example, if a patient is due for two vaccinations, Vello only sends one message to the client.

The intervals that Vello automatically sends medical service reminders are:

Two months before a service is due
One month before a service is due
One month after a service is due

For each type of reminder, a practice manager can select the interval that Vello uses to send the reminder. For example:

Vello can send email and text message reminders 60 and 30 days before a service is due service
Vello only sends postcard reminders 60 days before a due service

Note: A practice manager cannot configure new intervals for medical service reminders. For example, it is not possible to configure Vello to send reminders 15 days before a service is due.

Note: Vello can only send medical service reminders at 9:00 AM each day.

Note: If a client has a scheduled appointment in the next 120 days, Vello only uses email to send medical service reminders to the client. Vello does not send the reminders as text messages.

Medical service reminders and client appointments

If you activate Vello online scheduling and use appointment requests as a configuration type:

Medical service reminders show a link or button that clients can select to open the Vello client portal
Clients can use the client portal to make appointment requests

If you activate online scheduling and use Direct Booking as a configuration type:

Medical service reminders show a link or button that clients can use to get access to the Vello client portal
Clients can use the client portal to schedule an appointment directly in your PIMS calendar

If online scheduling is not activated, medical service reminders do not show a link or button for the Vello client portal. Clients can make a phone call to schedule appointments.

Note: Only medical service reminders that are emails or text messages have a link or button to open the Vello client portal.

Custom content for medical service reminders

A practice manager can add custom content to a medical service reminder. Custom content is new text that Vello includes in a medical service reminder. An example of custom content is information about a deposit for an appointment and the time necessary to cancel an appointment.

Note: Only medical service reminders that are emails can have custom content. Medical service reminders that are text messages or postcards cannot have custom content.

To make it easy to know where a medical service reminder includes custom content, a practice manager can open a preview of the applicable reminder. The preview identifies the location of custom content with the text [Your custom content here]:

Stop reminders for a medical service

A practice manager can stop reminders for a medical service. For example, if it is not necessary to send reminders for a heartworm test, they can stop reminders for the test.
