ezyVet only: Planning guides as a method to configure available appointment times

An optional method to configure available times for appointment requests with the Vello client portal is to use ezyVet planning guides.

With the planning guide method, Vello uses planning guide information that it syncs from ezyVet. The planning guide information:
  • Helps make sure that clients make appointment requests only for the days and times that staff are available
  • Prevents appointment requests at times that staff are not available or at times that your practice is not open

The planning guide method is an alternative to configuration of available days and times for appointments directly in Vello. The planning guide method is good to use for veterinary staff who are available for appointments at many different days and times during a week.

Christina Langley is DVM at Callisto Vets, a veterinary practice that uses ezyVet with Vello. Christina's calendar in ezyVet has a planning guide configured. The planning guide uses an appointment type of Wellness (15 mins).

Christina sets the Wellness (15 mins) planning guide in their calendar for the times that they are available for appointments. The times that they set are:
  • Monday, 9:00 AM to 9:45 AM
  • Tuesday, 10:00 AM to 10:45 AM

The practice manager configures available days and times that show to clients in the Vello client portal for wellness visits. To make sure that the client portal shows the correct days and times, they make a decision to use planning guides.

In Vello, the practice manager goes to the configuration settings for wellness visits. Then:
  1. They activate planning guides as a method to control available times for appointment requests
  2. They make the Wellness (15 mins) appointment type for planning guides available for appointment requests
  3. They select Christina Langley as a staff member who is available for appointment requests

A client uses the Vello client portal to make an appointment request for a wellness visit. In the appointment request screen, they select Christina Langley as the staff member that they want for the appointment. As a result:
  1. Vello gets planning guide information from ezyVet for Christina Langley
  2. The client portal shows only these available days and times for Christina Langley
    • Monday, 9:00 AM to 9:45 AM
    • Tuesday, 10:00 AM to 10:45 AM
