Online scheduling: Basic workflow for clients

Clients can use Vello online scheduling to make an appointment with five easy steps.

Vello has two methods that a client can use to make an appointment in the Vello client portal:
  • They can make an appointment request
  • They can schedule an appointment directly in your PIMS calendar (direct booking)

Workflow for appointment requests method

This table gives each step for the appointment request method and information about it:

1A client receives a medical service reminder from Vello. The reminder has a link that the client selects to open a page that they use to make an appointment request.
Note: As an alternative, the client uses the Vello client portal to make an appointment request directly.
2In the Book Appointment screen in the Vello client portal
  1. The client selects a visit type of wellness visit or sick visit
  2. The client selects the staff member that they want for the appointment
  3. The client selects the appointment date and time that they want
  4. The client enters information about why the appointment is necessary, then they select Request Appointment
Note: If a practice manager activated sick visits as a visit type in Vello, the client continues to the next step in the workflow. But if Vello does not have sick visits activated, the client must make a phone call to your practice to schedule the appointment.
3The Vello inbox shows the appointment request . You do a check of the request and make changes as necessary. For example, you can select a different staff member or set an appointment type.
4You confirm the appointment request. As a result, Vello syncs the confirmed appointment to your PIMS calendar.
5Vello sends an appointment confirmation message to the client. Then, Vello continues to send appointment reminders to the client. Each appointment reminder has a link or button that the client selects to show information about the appointment. Examples of the information include:
  • Appointment date and time
  • Practice name and address
  • Appointment instructions (optional)
  • Fecal sample checklist (optional)

Workflow for direct booking method

This table gives each step for the direct booking method and information about it:

2In the Book Appointment screen in the Vello client portal:
