Methods and intervals that Vello uses to send automatic appointment messages

Use the Appointment Reminders screen to configure how and when Vello sends automatic appointment messages to clients.

Note: Configuration of the method and interval that Vello uses to send appointment messages is a beta feature and is only available for Neo customers.
To do the configuration, select Edit in the Reminders section of the Appointment Reminder screen. After you select Edit, Vello shows a Edit Reminders dialog box:

The Edit Reminders dialog box has two sections that you can use to configure:
  • If Vello sends an appointment scheduled message
  • The method that Vello uses to send appointment scheduled messages and appointment reminders (text message or email)
  • If Vello automatically sends appointment reminders after an initial appointment scheduled message
  • The number of appointment reminders that Vello sends after an appointment scheduled message
  • The intervals that Vello uses to send appointment reminders

This table shows the available configuration tasks and more information about them:

Activate and configure appointment scheduled messages.To activate and configure appointment scheduled messages, use the At time of booking section to select the applicable method that Vello uses to send the messages. The available methods are:
  • Text
  • Email
Note: To send appointment scheduled messages, you must select a minimum of one method. If you clear the Text and Email setting, Vello does not send appointment scheduled messages.

Activate and configure appointment reminders that Vello sends after an initial appointment scheduled message.To activate and configure subsequent appointment reminders, use the day(s) before sections to select the method that Vello uses to send the appointment reminders. The available methods are:
  • Text
  • Email

You can configure Vello to send a maximum of three appointment reminders after a client receives an appointment scheduled message.

Note: For example, if you want to send two appointment reminders:
  1. Select a minimum of one method in two of the day(s) before sections
  2. Clear the Text and Email setting in the third day(s) before section

Configure the intervals for appointment reminders that Vello sends after an initial appointment scheduled message..Vello automatically configures appointment reminders to send:
  • At 9:00 AM, 14 days before the scheduled appointment
  • At 9:00 AM, three days before the scheduled appointment
  • At 7:00 AM, the day of the scheduled appointment
To change the intervals that Vello uses to send the appointment reminder, you can enter a number between zero and 30 in the text box of the applicable day(s) before sections:
days(s) before sections
The number identifies how many days before a client's scheduled appointment that Vello sends the appointment reminder. For example, if you want Vello to send an appointment reminder 20 days before a scheduled appointment, enter 20 in the text box of the applicable day(s) before section.

After you do the configuration, Vello automatically sends the appointment reminders at 9:00 AM during the days that you configured. If you entered zero, Vello sends the appointment reminder at 7:00 AM of the day of the appointment.

After you configure methods and intervals, the Overview screen and the Appointment Reminders screen shows when Vello automatically sends appointment messages. The screens show:
  • Each appointment message that Vello sends
  • When Vello automatically sends each appointment message
  • The method that Vello uses to send each appointment message (text message or email)
  • A Preview button that you can select to look at the text and formatting of appointment messages
  • An Edit button that you can select to make changes to the methods and intervals
